Process digitalisation · Process automation

Process automation: capture data once, then it runs by itself.

We connect your systems, automate recurring steps and take the manual hand-offs out of your day, from the form to the invoice. At a fixed price, with one point of contact, and without throwing out the software that already works for you.

What it is about

Between your systems, manual work holds it all together.

01

Data gets typed in three times

From the form into the spreadsheet, from the spreadsheet into the quote, from the quote into the accounts. Every transfer costs time and introduces errors.

02

Systems don't talk to each other

Website, email, calendar, CRM and accounting run side by side. In between sits manual work that nobody enjoys and that piles up when someone is on holiday.

03

Knowledge lives in people's heads

Everyone does it slightly differently, and only one person knows how it is done properly. As the team grows, so does the chaos.

What we do

What we digitalise.

Digitalising processes means information is captured once and then flows through every step without re-typing. Process automation makes sure recurring steps run on their own.

Process analysis and digitalisation consulting

We map how your process really runs today, find the points where data is carried over by hand or entered twice, and suggest what to digitalise first.

Connecting systems

Forms, email, calendar, CRM, shop and accounting talk to each other through their interfaces. Data is captured once and flows on.

Workflow automation

Recurring steps run on their own: confirmations, reminders, tasks, documents, invoices. Exceptions go to the person who has to decide on them.

Paperless office

Receipts, contracts and forms are captured digitally, filed so you can find them and fed straight into the process, instead of filling folders.

Typical projects

What clients come to us with.

  • From enquiry to quote to order
  • Appointment booking with calendar and reminders
  • Invoices created automatically from orders
  • Onboarding new clients with a checklist
  • Capturing incoming post and receipts digitally
  • Connecting your shop to inventory management and shipping
  • Connecting an AI phone assistant to CRM and calendar
  • Monthly reports from several systems
What it delivers

Five minutes of re-typing add up to more than you think.

20tasks a day

Enquiries, orders, appointments, receipts: a small business quickly reaches twenty tasks a day that get copied from one place to another.

5 minof re-typing per task

Copying data, checking it, entering it into the next system. Five minutes is a conservative estimate, not counting follow-up questions.

370 ha year

At around 220 working days, that is more than nine working weeks that a digitalised process gives back to your team.

Worked example based on assumed figures; we work out what is realistic for you in the initial call.

How it works

Four steps, one point of contact.

Initial call and process review

You get in touch via the contact form or call the studio, and Christopher gets back to you to find out where things get stuck. Then we go through the process together, as it really runs today, not as it is written in the handbook.

Concept and fixed price

You get it in writing: which steps will be digitalised, which systems will be connected and what it costs.

Build and testing

We connect the systems and test with real cases before the new process replaces the old one. Your team is shown how it works.

Operation and expansion

We monitor that everything runs and make adjustments when your business changes. The next process follows once the first one is running smoothly.

What we work with

Tools chosen for value, not hype.

We connect what you already use: website and forms, email inbox, calendar, CRM, shop, inventory management and accounting. Most software has interfaces; where none exists, we build a small one of our own.

For standard processes we use workflow automation tools; for anything standard tools cannot handle, custom software. Where texts, calls or documents need to be understood, AI automation comes in.

Warum NEOPAQ®

We digitalised our own studio first.

We built our own studio this way: from the first enquiry to the invoice, data flows through without anyone re-typing it. Whatever we suggest to you, we have tested ourselves in our daily work.

We don't start with a large project, but with the one process that eats up the most time. Often that is the path from enquiry to quote, sometimes it is the phone: an AI phone assistant connected to your calendar and CRM is a good way to start digitalising your business.

Your existing systems stay where they work. We connect them and only build what is missing. That keeps business process automation manageable, affordable and easy for your team to follow.

FAQ

What clients want to know before we start.

What does it mean to digitalise processes?

Digitalising a business process means that information is captured digitally once and then flows through every step without re-typing: from the form into the CRM, from the order into the invoice, from the receipt into the accounts. Process automation goes one step further: recurring steps then run on their own, and people only deal with exceptions and decisions.

What is the difference between process automation and AI automation?

Process automation follows fixed rules: when an order comes in, an invoice is created. AI automation comes in when something needs to be understood, such as a freely worded email, a phone call or a scanned document. In practice, the two work hand in hand.

Do we have to switch software?

Usually not. We connect what you use and only suggest a switch if a piece of software really blocks the process. Then we tell you honestly what it costs and what it brings.

How much does it cost to digitalise processes?

After the initial call, you get a fixed price. A single process, such as the path from enquiry to quote, is often in the low four figures. We plan larger projects in stages, so that each stage is useful on its own.

How long does it take?

A single process is often up and running after two to four weeks. How quickly it goes depends mainly on how easily your existing systems can be connected.

Who looks after it afterwards?

We do. We monitor the connections, react when a piece of software changes its interface, and adjust processes when your business changes. Everything is documented, so you don't depend on us.

Is it GDPR-compliant?

Yes, if it is built properly: data processing agreements with all services involved, only the data that is needed and clear deletion periods. Which services are involved is set out in writing in the concept beforehand.
