AI automation · AI consulting

AI automation that actually takes work off your hands.

We use AI where it pays off for your business: with enquiries, documents, data and reports. The AI does the groundwork, a person signs off. At a fixed price, with one point of contact, and built by a studio that works with it every day.

What it is about

Everyone is talking about AI. Hardly anyone tells you where it helps.

01

Routine eats up the day

Answering enquiries, typing up data, arranging appointments, pulling reports together: every week, hours go into work nobody would miss.

02

Everyone talks about AI, nobody says where

Between marketing promises and tool lists, one question stays open: which tasks in your business AI can really take over, and which of them pay off.

03

Data protection makes you nervous

Copying customer data into someone else’s tool? A fair concern. AI automation has to be built from the start so that you can use it with a clear conscience.

What we do

What we build with AI.

AI automation connects artificial intelligence with your workflows: the system understands emails, calls and documents, handles the routine and puts the decision in front of you, fully prepared.

AI consulting and opportunity analysis

We look at your workflows and show where AI pays off and where it doesn’t. The result is a short list with effort, benefit and order of priority, not a slide marathon.

Enquiries and communication

Phone, email and forms: AI takes in enquiries, summarises them, routes them and drafts replies. A person decides and signs off.

Documents and data

Invoices, orders, delivery notes, contracts: AI reads along, pulls out the key details and enters them where they are needed.

Analysis and reports

Figures from several sources, merged automatically and explained in plain language, instead of updating spreadsheets by hand every month.

Typical projects

What clients come to us with.

  • AI phone assistant for enquiries and call-backs
  • Pre-sorting enquiries from forms and email automatically
  • Preparing quotes from an enquiry
  • Reading receipts and invoices
  • Monthly report from several data sources
  • Knowledge base for your staff
  • Customer area with automatic notifications
  • Copy and product descriptions with approval
What it delivers

An hour a day adds up to more than you think.

1 hof routine per day

Sorting enquiries, transferring data, answering follow-up questions: in many businesses an hour a day soon adds up.

220 hper year

With around 220 working days, that is more than five full working weeks, every year, spent on work a system could take over.

€13,200at €60 per hour

Even if an automation only takes on half of that, it usually pays for itself within a year.

Worked example with assumed figures; what is possible for you is something we clarify in the first call.

How it works

Four steps, one point of contact.

Initial call and analysis

In a first call we find out where things get stuck. Then we look at the workflow more closely and find the point with the biggest leverage.

Concept and fixed price

You get in writing what will be automated, what a person keeps deciding, and a fixed price.

Build and test

We build the automation and test it with real cases before it goes into daily use. You see every interim stage.

Operation and monitoring

We monitor that everything runs and measure what the automation delivers. Where it pays off, we build the next step.

What we work with

Tools chosen for value, not hype.

We use large language models from leading providers, voice AI for the phone, tools for workflows between programs and, where needed, custom interfaces. Which tool it will be is decided by data protection, cost and reliability, not the hype of the week.

Your existing systems stay: website, shop, accounting, CRM or email inbox are connected, not replaced, just as with process automation. Wherever possible, we process data in the EU; where a service runs outside the EU, we tell you beforehand and cover it with a data processing agreement.

Warum NEOPAQ®

AI we use ourselves every day.

We don’t sell AI slide decks, we run our own studio with AI automation: Lena, our AI phone assistant, answers our calls and rings back anyone who requests a call-back, in German, the website check runs by itself every month, and our clients’ change requests appear as a preview in the client area before anyone approves them.

That is why we also know the limits. AI is strong at reading, summarising and preparing; when it comes to money, contracts and customers, a person should still decide. That is exactly how we build automations: the AI does the groundwork, a person signs off.

We start small, with the one workflow that costs you the most time. Once it runs and pays off, the next one follows. That keeps AI automation affordable and manageable for small and medium-sized businesses.

FAQ

What clients want to know before we start.

What is AI automation?

AI automation means that recurring tasks are handled by a system that uses artificial intelligence to understand unstructured input as well, such as emails, phone calls or documents. Classic process automation follows fixed if-then rules; AI automation reads, summarises, sorts and prepares decisions that a person then approves.

What does AI automation cost?

That depends on what it needs to do. After the first call you get a fixed price. We often start with a single workflow in the low four figures and build from there. We name the running costs for AI services upfront so you can plan for them.

Is it GDPR-compliant?

Yes, if it is built properly: with data processing agreements, as little personal data as necessary and clear deletion periods. Wherever possible we use processing in the EU. Which services are involved is set out in writing in the concept beforehand.

Do you offer AI consulting too?

Yes. Every project starts with a short analysis: which workflows exist, where does the routine lie, what would pay off? The result is an order of priority with effort and benefit. You then decide whether we build it or you carry on with the list yourself.

Are you an AI agency?

Yes and no. We are a design studio that builds AI automation and uses it in our own daily work. Unlike many AI agencies, we don’t sell a tool subscription, we solve a specific workflow. And because website, software and automation come from one studio, everything fits together in the end.

Will AI replace our staff?

No, it takes work off their plate. The AI handles the typing, sorting and first drafts; advice, decisions and customer contact stay with your team, who then have more time for them.

Do we need our own IT department?

No. We connect what you already use and take care of operation and monitoring. All you need is someone who knows the workflow and explains to us at the start how it runs today.

How quickly will the first automation be running?

A single, clearly defined workflow is often up and running after two to four weeks. We plan larger projects in stages, so you see value early instead of waiting months for a finished overall system.
